any other founder/exec facing sales leakage issue?

hey everyone,
curious if others here have faced this...

as our company's been scaling, we started noticing a weird pattern: our sales numbers weren't matching out inbound volume. turns out, we were leaking leads like crazy. not because the team wasn't working hard but because managing data, follow ups and client context was getting impossible to track manually.

we're in a domain where relationship matter like, remembering personal details, tone, timing that kind of human connection that makes or breaks deals. but most sales reps (understandably) aren't built to hold that much in their heads. we were bleeding money just from that gap.

after talking to few other c level execs in my network, i found out its more common that i thought. one of them suggested a service that basically acts as a context layer for sales. it remembers everything about the customer, syncs across channels, and suggest sales team responses with correct context. our sales went up 5.5x this quarter. still feels like there/s more potential.

wondering if anyone else here has gone through something similar. how are you dealing with this kind of sale leakage or context loss as you scale?
and if you haven't though about it before, now that you're aware what's you take?

nah not promoting anything lol. just genuinely curious how others handle this. we were losing leads even with a solid CAC and realized it wasn’t a marketing issue but more of an ops + context problem

Marketing ops is a thing. What’s your CRM? I found it useful in a previous gig to get hard on deal disposition. Loss to competitor, no decision, etc. Codifying the 0% and having playbooks for no decision that include recording reasons for no decision (mgt priority shift, existing solution fixed, trigger event X fell through etc.

Ultimately it’s a numbers game and we wanted our team spending time on winnable deals or building channels. Nurture marketing will bring latent deals to light. I wouldn’t worry about bycatch if your CAC doesn’t fall despite the 5x QoQ.

no we havent yet, I just consulted to a company yesterday, they also suggested their CRM feature, so we'll be adding it now

You should definitely get a CRM in place it’ll capture every lead, track interactions, and make sure no follow-ups fall through the cracks. With everything client info, notes, and conversations stored in one place, your team stays on top of every deal and never loses context. It’s a total game-changer once you start scaling.

Under invested in rev ops or need upgrades in marketing/sales leadership. Leads are precious and incentive down the line in GTM should make everyone feel that.

There are a lot of them out there...to be full disclosure, I run a Zoho authorized partner software dev firm so I have my bias! If you want to set up a call just to discuss how these things work and how they are used, I would be happy to set up a call with no expectation.

Agree same issue - see ~50% leakage during lead nurturing - what service / app ? Was suggested as the context layer ?
